Can I edit the pickup and drop-off times myself?
Yes. You can change pickup and drop-off times on an existing booking directly from the booking summary. For future bookings, you can update the default time windows in your location settings.
How do I modify existing bookings?
To modify an existing booking, open the booking details from the 'Bookings' section. You can change dates, equipment, customer information, or pricing. If a customer wants to extend their rental, adjust the dates and the billing updates automatically. The customer's card is saved on file so you can charge any balance directly. You review and approve all additional charges manually so you stay in control. The customer will be automatically notified of any changes via email.
How do I handle booking conflicts?
When booking conflicts occur, HQRent will alert you immediately. You can resolve conflicts by adjusting dates, substituting similar equipment, or contacting customers to discuss alternatives. The system shows availability in real-time to help you find the best solution for all parties.
What if someone books on the marketplace but the equipment is already rented?
Marketplace bookings come through as reservation requests. You can choose to manually review and approve each request, or enable auto-accept as a setting depending on your preference. If a request conflicts with an existing booking, you can simply decline it. Your own booking system always takes priority.
If I change my equipment rates, does it affect existing bookings?
No. Changing equipment rates only affects future bookings. To change the amount for an existing booking, you must edit that booking's billing. Once a booking is made, its rates are set unless you update them on that booking.
How do cancellations work in the system?
Cancellations are fully controlled by you. Customers cannot cancel on their own. You can cancel a booking directly from the dashboard and apply cancellation fees as add-on charges at your discretion. If a customer wants to switch equipment instead of canceling, you can simply change the item in the booking and the billing adjusts automatically.
